Graduate School USA is currently seeking a Payroll Specialist to oversee payroll operations, ensuring accuracy and timeliness. The Payroll Specialist will support the processing and managing of changes for the School’s payroll accounts. S/he will work collaboratively and with a team of skilled professionals in a deadline driven environment, demonstrating precision and expertise to maximize efficiency and productivity.
KEY DUTIES AND RESPONSIBILITIES
Compile data and statistics for the calculation and disbursement of payroll.
Assure confidentiality and security of records and administration.
Monitor allocations of labor expenses and prepare payments associated with payroll.
Review timesheets and input changes affecting net wages such as exemptions, direct deposits, required and voluntary deductions, etc.
Perform general clerical duties including typing, filing, faxing, copying, relaying messages, and giving assistance as needed to provide quality customer service.
Ensure that payroll files are transmitted to the outside service provider in a timely fashion.
Monitor the provider’s performance and quality, following up directly when there are problems or discrepancies. Ensure that the provider is accurately computing pay, interpreting the school’s policies and applying government regulations.
Ensure that applicable payroll data are reported to federal, state and local agencies as required.
Review quarterly tax reports, conduct general ledger reconciliation, and reconcile payroll accounts on monthly and yearly basis.
Administer taxes and other garnishments.
Prepare and create standard and ad-hoc reports.
Respond to inquiries from employees and management, performing the appropriate research and analysis needed to reconcile discrepancies.
In collaboration with HR, ensure that employee pay events (hires, terminations, benefits changes, overtime, benefit deductions, etc.) are captured in the payroll system for appropriate payout or deduction.
Manage the employee payroll direct deposit process.
Coordinate the calculation and distribution of annual W-2s.
Non-Payroll related data entry, cost analysis projects, program reviews and external reports as needed.
Preparation and delivery to bank of bank deposits.
Manage version control of pay system in coordination with payroll processor and IT.
Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
Must possess strong PC skills, strong mathematical skills, detail oriented and proficiency in spreadsheets and/or payroll management software, i.e., ADP, PeopleSoft, SyncHR
Must have a strong understanding of labor laws (FLSA, etc.) and tax regulations (FICA, etc.) related to payroll administration.
Must have strong verbal and written communication skills and the ability to handle sensitive and confidential situations and the ability to work under pressure.
High School diploma or equivalent is required. Associate Degree or equivalent experience.
Payroll Certification desired.
Minimum one (1) year of accounting experience is required.
A minimum of three (3) years of payroll administration and payroll tax experience is required.
Government contract experience desired.
Ability to troubleshoot payroll software system issues.
